How do I…?

The RiskBoard manual, one task at a time. Search for what you want to do, the steps are below.

My space

Create my space or sign in
  1. Click “Log in” at the top of the page. For a first space, choose “Create an account”: an e-mail address and a password of at least 8 characters.
  2. One space is one organisation. Its settings are where you name the company and the person who issues the report.

A link received by e-mail works only once, and only in the browser that requested it. If it has expired or was already used, the sign-in page says so: request a new one, or sign in again.

Forgotten password, or changing it
  1. Forgotten: on the sign-in page, click “Forgot password?”, enter your e-mail, then “Get the link”. Open the link in the same browser: it leads to “New password”.
  2. Signed in: open “Settings”, “Password” section, then “Change my password”: at least 8 characters. Your other devices are signed out.
Set the period, the risk appetite and the scales
  1. Open “Settings” in the top bar: company name, sector, person issuing the report.
  2. Set the current period and the board's risk appetite, and review the probability and impact scales used for rating.

The risk appetite decides what the report presents as a “decision requested from the board”: any risk whose net level reaches or exceeds it.

See the tool before creating a space
  1. Open “Demo”: a complete fictional space, register, report, HR and horizon scanning, with the data of an imaginary industrial SME. Nothing is saved there.
Change the language
  1. On the home page and public pages, the language switcher is in the top bar: French, German, English. The address takes /de or /en before the path.

The signed-in space is in French. So are the report, its figures and its labels.

The risk register

Add a risk to the register
  1. Open “Register”, then the add button. Give a title, a category, an owner, and describe the risk, its cause and the controls in place.
  2. Rate it gross, before controls, then net: a probability and an impact each, on the scales from the settings. The level is calculated for you.
  3. Add the action plans, with a status: to do, in progress, done, late.

A net level above the gross level is flagged in the report as a rating to review: controls cannot make a risk worse.

Import my register from Excel
  1. Open “Register”, then “Import from Excel”. Copy your rows in the spreadsheet and paste them into the field.
  2. Check the proposed column mapping, pasted column on the left, RiskBoard field on the right, then run the import.
Read the heat map and find a risk
  1. The register shows the risks on record, those beyond appetite and the late actions, then the residual-risk map: impact in rows, probability in columns.
  2. Levels: low from 1 to 4, medium from 5 to 9, high from 10 to 14, critical from 15 to 25. The “Δ vs T-1” column compares with the previous period.
  3. The search field filters by title, code or owner; the category list filters the rest.
Export the register
  1. At the bottom of the register, “Download the full register” produces a CSV file that opens in Excel.

The board report

Produce the board report
  1. Open “Board report”. It builds itself from the register: executive summary, map, register, decisions requested, action plan follow-up, occupational health and safety.
  2. Every figure is calculated from the register. No sentence is written by an AI.
  3. “Export as PDF” opens the browser's print dialog: choose “Save as PDF”.

An empty register gives an empty report: start by entering or importing your risks.

Close the period and compare with the previous quarter
  1. At the bottom of the report, the close button records the current period, after confirmation.
  2. The next report compares its ratings with that close: worsened, improved, entered, exited. Without a close, there is no comparison.

Solvency, occupational safety, HR and horizon scanning

Run the solvency test (art. 725 to 725b CO)
  1. Open “Solvency”. Enter the source of the figures, the cash position (liquid funds, undrawn credit lines, monthly receipts and payments), then the balance sheet: assets, debts, capital and legal reserves. Click “Save”.
  2. The page computes the three tests, liquidity (art. 725), capital loss (art. 725a) and over-indebtedness (art. 725b), and lists the board duties these figures trigger. Once figures are entered, the board report includes them.
Enter occupational safety data and report an incident
  1. Open “Safety (OHS)”. Enter the period, the headcount in FTE and the hours worked.
  2. “Report an incident”: type, accident with lost time or near miss, date, place or workstation, days lost, description.
  3. Frequency and severity rates are calculated from this data and feed section 6 of the report.
Enter the HR indicators
  1. Open “HR”. Enter the headcount at the start and end of the period, hires, leavers and regretted leavers, days of absence, theoretical working days, FTE and open positions.
  2. The rates, turnover, absenteeism, occupancy, vacancy, are calculated from this data, the formula is shown under each. They feed the “Human capital” section of the report.
Track emerging risks and bring one into the register
  1. Open “Horizon scanning”. Each theme of the reference framework carries a position: to assess, under watch, integrated into the register, dismissed. An optional note keeps your reasoning.
  2. “Run the AI analysis” reads your sector and your register to flag the most relevant themes. It can take up to a minute.
  3. On a theme you keep, integrate it into the register: the risk is created there and you then rate it like the others.

The AI's suggestions are for you to validate. They are never carried into the report.
